Policies and Procedures

Enrollment

A student is enrolled upon completion of an enrollment form and assignment to a teacher and class time. Enrollment must be completed before the beginning of each term or during the first five (5) days of each term. If the student is a first-time enrollee, forms must include payment of the first month’s tuition or full payment for the term. Terms are defined below:

Summer Term: July through August
Fall/Winter Term: Mid-September through January
Spring Term: February through June

Note: Enrollment opportunities are available during the middle of a term, however, full tuition may still apply, with special arrangements made with each instructor for catch-up sessions. In certain circumstances, prorated fees may apply for mid-term enrollment.

Payment of Fees

Full tuition is due at the beginning of each term. However, alternative payment arrangements can be made, as follows:

Tuition for each term can be paid in installments. This amount equals the total amount due for all lessons held during the term. Payments are due on the first (1st) day of each month during each term or as indicated on the “Alternative Fee Payment Agreement.” After the fifth (5th) day of each month or established payment date, a $10.00 late fee is assessed, unless there are extenuating circumstances and/or approval by MOMA Manager. A student cannot be enrolled in a succeeding term if there is a balance from the previous term. Lessons will be suspended after the fifteenth (15th) day, if tuition and late fees are not paid.

Full Tuition (Upon Approval)

Summer Term
1/2-hour lessons $120 $60 per month (July and August)
1-hour lessons $216 $108 per month (July and August)

Fall/Winter Term
1/2-hour lessons $240 $60 per month (October thru January)
1-hour lessons $432 $108 per month (October thru January)

Spring Term
1/2-hour lessons $240 $60 per month (February thru May)
1-hour lessons $432 $108 per month (February thru May)

These payment arrangements are expected for the Summer, Fall/Winter and Spring Terms.

Missed Lessons

A student can receive a rescheduled lesson if the teacher has been notified 24 hours prior to the lesson. A schedule of make-up lesson days will be provided by the instructor. If the instructor must miss as lesson, the instructor is expected to work out a makeup time with the student(s). Full tuition is still due, even if the student misses a lesson during the term.

Recitals

Recitals may be held during the Fall/Winter and Spring Terms. Students are required to play and/or sing at least one memorized piece on the instrument(s) on which they are studying.

Field Trips

At least two (2) field outings may be scheduled during the year. These cultural arts activities usually include the Knoxville Opera, Knoxville Symphony, The University of Tennessee, Knoxville College, Bijou Theater, Knoxville Museum of Arts, etc. Students are also encouraged to participate in performances at area churches, health care facilities, as well as at Mount Olive Baptist Church.

Books and Materials

Students will receive one (1) book per term as part of their tuition fee. Students are required to purchase all other learning materials for each term. Materials will be purchased by MOMA staff, and reimbursement must be made to the instructor or MOMA manager. All students are required to study theory.

Instruments

Each student is required to have an instrument on which to practice outside of class. A student who is unable to purchase an instrument should consult the instructor or MOMA manager for options.

Scholarship and Adopted Students

All scholarship students and adopted students are required to attend all scheduled lessons, including First-Saturday Workshops, unless he/she has an “excused absence.” An “excused absence” is when the instructor and/or MOMA Manager have been notified 24 hours in advance of the absence. Failure to adhere to MOMA’s Policies and Procedures may result in students not being considered for future scholarship opportunities. All scholarship recipients and adopted students will be required to give a monthly contribution to MOMA—at least $20 or an amount which is determined by each family based on financial status. An “Alternative Fee Payment Agreement” must be completed. Any exceptions must be approved by the MOMA Manager.

Recommendations for Length of Individual Lessons

The Mount Olive Music Academy (MOMA) recommends that students be registered for individual lessons according to the following guidelines:

Beginning Students (Ages 6-9)*--One, 30-minute lesson per week
Fee: $60/month
* Ideally, students should have two, 30-minute lessons per week

Advancing Elementary and Early Intermediate Students (Ages 10-12)*-- One, 45-minute lesson per week
Fee: $80/month
*Ideally, students should have two, 45-minute lessons per week

Later Intermediate and Advanced Students (Ages 13-18)—One, 1-hour lesson per week
Fee: $108/month

Adults—All adult students should register for one, 1-hour lesson per week
Fee: $108/month

The individual instructor may recommend changes in the above schedule based on the age and progress of the student.

Adjustments can also be made to fit family budgets; work, church and school schedules; etc.
